    VMS

    VMS is the Visitor Management System. It enables you to control and monitor the flow of visitors on your premises.

    Queue

    The queue shows you the people who are scheduled to visit your premises. You can select the date and time to see the visits scheduled, or select from the drop down to see the visits scheduled from today, last 24h, yesterday, last 7 days, previous week, last 30 days, previous month, and previous 3 months.

    Once you determine your date and time range, click Filter to see information about your scheduled visitors such as their name, company and badge.

    Visitors

    This tab allows you to see the status of your company’s visits.

    In the Requests tab there are those visitors that are in the queue.

    Status

    Customize the status using the Status Alert in the Settings tab of VMS. Once a visitor is authorized, they will be placed in the queue. They are authorized automatically unless they appear on your pre-set watchlist check or belong to a group which denotes the visitor should not be allowed. You control the type of visit that is sent to the queue. For more information, see the “Settings” section of VMS.

    Date

    This displays the date frame you selected for a scheduled visitor to be on your premises.

    Time

    This displays the time frame you selected for a scheduled visitor to be on your premises.

    Company

    This is the company the visitor, who is scheduled to enter the premises, from.

    Host

    It is the company which has invited the visitor to its premises.

    Here you will be able to see emails and phones of the visitors.

    Export

    Allows you to export the information on this page.

    Settings

    Header/Logo

    Here you can upload your company logo which will appear on the visitor request page to rebrand the VeriScan Online VMS. You can also write and save a header message.

    Form URL

    This is the form your employees will fill out to request scheduled visits.

    Alert Rules

    VMS Alerts. Set different alerts for each group you have created. For example, if a person is a member of the VIP group, you can have it so they are automatically authorized to enter. Select the email for which you would like each alert to be sent by typing in the alert emails box and enter the appropriate parameters.

    VMS Limits. Set any limits in a special ‘Visitors Limit” field. You can create the limit of visitors, set an auto status as mentioned above and add an alert email.

    VMS. Scroll down further to add important information about a visitor such as whether they are a government employee or a U.S. citizen.

    Status Alerts

    You can use status alerts to customize which visitor status will be approved to the queue or remain as unconfirmed or hidden. To approve a status so it will automatically go into the queue, check the “Approved to Queue” box. To make it so a status is not automatically submitted to the queue, check the “Not Confirmed” box. Enter the email address of who you want to send/receive the alert emails by typing it into the designated box. To hide a status, check the Hidden box. All of your statuses are customizable. To add a new status, click on the blue “Add New Status” button.

    Custom Fields

    The Custom Fields allows you to create specific fields to tailor visitor information.

    General fields. Enter the visitor’s name in the designated box and type any comments relevant to their visit. Such items might include: the start of the visit, the end time, host’s first name, etc. In the case that the host will not be on-site when a visitor arrives, you may add in an alternate host’s information. To add another field, scroll to the bottom and click the blue “Add General Field” button.

    Customer fields. This tab is the same as the General Fields Tab except it pertains to the visitor information and not the host’s. For example, some of our clients include such items as government employee, government ID number, and email.

    Security

    The Security tab allows you to set different parameters in regards to who will receive notifications and alerts related to visitors.

    The system will accept visitor requests from pre-established domains only. You should set this to the domain of the employee(s) who are authorized to submit visitor requests.

    Default request status. You can set requests so you only receive authorized requests, rejected requests, etc.

    Visitors Form Requires email Confirmation. Check this box if you would like the confirmation email to be sent to Host and Alternate Host. Email will have 'Confirm Request' button. In order to place the request into the Queue, either the Host or Alternate Host have to confirm the request.

    Visitor confirmations “Reply To” emails. Enter an email address in this box if you would like to have additional email confirmations sent in addition to the default email address already selected.

    MK Denial Security In order to use this option, you must have an active API subscription with www.mkdataservices.com. This allows you to run the visitor’s information against the MK Denial Security list. On the drop down box, you will want to select between the different options to determine what to do if someone is found on the MK Denial request status for higher level visitor screening purposes. You can choose not to authorize their entrance, or simply note that they are an MK Denial request status match, among other options.

    Host Email Message This allows you to customize email messages for Host/Alt Host. Preserve [First Name] [Last Name] command if you wish to display the name of your visitor in the email message.

    VMS Disabled Hosts You can disable VMS hosts simply by clicking on “add email.” Once you do this, this host will no longer have access to the system.

    Additional

    This tab provides additional information on the VMS content such as a visitor video URL.

    New Visitor Request

    You can submit a request with visitors that you can add by clicking on the “Submit Request” button or add another visitor.

    Destinations

    You can add the location/destination where the visitor is allowed to by clicking on the “Add New Destination” button. You may manage this information by editing or deleting it.

    Authorized Approvers

    In this section there is an option to add or import the list of the persons who will approve the visitors.
